Leads in Ocean.io make it easy to collect, organize, and manage interesting companies and contacts. Whether you're planning outreach, tracking prospects, or managing potential clients, Leads act as your workspace for staying organized and keeping momentum in your sales or marketing efforts.
Where to Find Your Leads
Your Leads section lives in the left-hand sidebar, right below Search and Chat. It has three sections:
All Leads — every lead saved by your entire team in one place
My Leads — only the leads assigned to you
Labels — your custom categories to organize leads the way you work
What You Can Do with Leads
Once you've saved a company or contact as a lead, you can:
Search and filter within your leads to find exactly what you need
Assign leads to team members for clear ownership and accountability
Export your leads in bulk — and it's always free from the Leads page
Edit or remove leads that are no longer relevant
Avoid duplicates by using the "Net new" filter to focus only on fresh opportunities
💡 Think of Leads as a lightweight CRM built into Ocean.io. Exporting directly from your Leads page never costs credits — so make it a habit to save leads as you go!
Adding a Lead
Found a company or contact you want to follow up with? Simply select it in your search results and click "Add lead".
The pop-up that follows, allows you to:
Assign the lead to a specific team member to keep responsibilities clear.
Add labels to your lead for easier filtering and organization. You can create custom labels to match your workflow.
Set a status for the lead, such as New, Low, Medium, or High priority, to help prioritize outreach.
Update labels or tags systematically to better organize leads based on status, priority, or other workflow criteria.
Viewing and Managing Leads
Visibility
Leads can be seen by anyone on your team.
The My Leads section (left-hand bar) shows only the leads assigned to you.
The All Leads section displays all leads, along with information on who each lead is assigned to.
Edit or delete a single lead
In the search table or quickview, click on the Lead icon to change the assignee, label and status. If you wish to remove the lead entirely, click on the "Remove lead" button.
Edit or delete leads in bulk
To manage multiple leads at once, use the checkbox at the top-left of the list, next to the Score column in the Results tab
or the checkbox at the top-left of the list, next to the Name column in the Leads section.
Selecting this checkbox will choose all leads currently visible on the page. You can also refine your selection using the bulk selection options:
Select all leads in your search results
Select a specific number of leads (e.g., “Select first 500 results”)
Clear selection
These options give you full control over how many leads you want to manage at once.
Once you’ve made your selection, choose an action from the action bar. For example, click Remove to delete the selected leads or set/update their statuses.
💡 Tip: Note that removing a lead will only remove it from your overview; it will not hide the lead going forward. To hide the lead going forward, check out our support article about hiding leads.
Labels — Your Custom Lead Lists
Labels are a powerful way to organize your leads into custom categories that match your workflow, think of them as named folders for your leads.
The Labels tab in the left-hand sidebar gives you a full overview of all your labels in one place. Each label shows:
Color — for quick visual identification
Name — your custom label name
Number of leads saved under that label
Type — whether it contains People or Company leads
Created by and Last updated
What you can do with labels:
Click any label to instantly open the full list of leads saved under it, perfect for jumping straight into a specific segment of your pipeline
Filter by type, use the "Both types" dropdown at the top left corner to filter between People labels, Company labels, or both
Search by name, quickly find a specific label using the search bar at the top
Create a new label, click "+ New Label" in the top right corner
Edit or delete a label — click the three dots (⋯) next to any label to rename or delete it
💡 Labels are great for organizing leads by campaign, region, account tier, customer type, or any other grouping that fits your team's workflow.
Filtering and Searching Inside Your Leads
Leads are static, they only include companies and contacts you've explicitly saved. Filters on the Leads page help you find items within that saved set, they don't pull in new results from outside your leads.
Left-hand filter panel
Open My Leads or All Leads and use the left-hand filters to narrow down by:
Lead status — New lead, High priority, Medium, Low priority, Disqualified, or Qualified
Label — filter by any custom label you've created
Phone status — filter based on phone enrichment status
Email status — filter based on email enrichment status
Added date — when the lead was saved
Updated date — when the lead was last updated
Updated by — which team member last updated the lead
Added by — which team member saved the lead
Custom tab
Click Custom at the top of your leads list to control which leads are visible in your view based on their status.
The options available depend on which tab you're on:
People tab — toggle People exported to show or hide contacts that have already been exported
Companies tab — toggle Companies in CRM to show or hide companies that exist in your connected CRM, and Companies exported to show or hide companies that have already been exported
💡 This is useful when you want to focus only on leads you haven't actioned yet, or specifically review ones that have already been exported or synced to your CRM.
