Export History

Learn more about the export history

The Export history page gives you a complete overview of all exports performed by anyone in your organization. It is the place to revisit past exports, check their results, troubleshoot errors, and quickly re-export the same records whenever needed.

To find your export history go to → Settings → Export History→ Export history.

What You Can See in the Export History

Each export in the list includes:

  • Date: When the export was performed.

  • User: Who initiated the export.

  • Destination: Where the data was exported to, such as your CRM, CSV, Clay, or LinkedIn audiences.

  • Successful / Ignored / Failed: A breakdown of how each item in the export performed.

  • Credits Used:

    • For legacy UI / older plan users: Export History shows the number of credits consumed by each export.

    • For new UI / new pricing plan users: Export History does not display credit usage. Instead, see the Usage tab for a complete breakdown of credit consumption.

  • Reference ID: A unique identifier for support and troubleshooting.

This overview helps your team track what was exported, when, and where.

Accessing Export Files (Activities Tab)

While Export History tracks exports, the download links for exported files are in the Activities tab:

  • CSV exports: Download the file from Activities → Download CSV

  • Other exports (CRM, Clay, LinkedIn, webhooks): The Activities tab shows a link to the exported items instead of a CSV

Notes:

  • Export files remain available indefinitely unless manually deleted

  • You can re-download CSV files as many times as needed

Re-Exporting Items

Export History also allows you to re-export previously exported items, without recreating the original search.

Example

  1. Export contacts to Clay for an email campaign

  2. Export the same companies later to LinkedIn Audiences

  3. Open the past export in Export History → return to the items → export them to the new destination

How to re-export:

  1. Open the breakdown of items by clicking the number in the Successful, Ignored, or Failed column. This number contains a link that will open a new search in the Search tab.

  2. Select all items (checkbox in top-left)

  3. Choose a destination → export again

Understanding Successful, Ignored, and Failed Results

Each export includes three performance categories.

Successful

Items that were exported without issues.

Ignored

This category applies only to CRM exports. Ocean automatically ignores companies that already exist in your CRM, so duplicates are not created.


Contacts and deals are not ignored and are always created.

Failed

Items that Ocean attempted to export but could not complete due to issues, mostly with CRM exports.

Common causes include:

  • CRM field restrictions that prevent certain values

  • A mismatch between an Ocean field and a CRM field that only accepts specific values or formatting

Example: If Ocean’s Industry field is mapped to a CRM Industry field that only allows a predefined list of industries, a mismatch may cause the company record to fail. You can review the exact error by clicking the number in the Failed column and selecting View error log. The message usually explains the cause clearly and can be shared with your CRM administrator.

Viewing Item Breakdown: Contacts, Companies, Deals

Clicking any number in the Successful, Ignored, or Failed columns opens a breakdown showing how many contacts, companies, and deals fall into that category.

From there, you can click the specific numbers to open a new search containing exactly those items.

Copying the Reference ID for Support

If you experience issues with an export, the fastest way for support to assist you is by sharing the export’s Reference ID. To copy it, locate the export in the Export History and click the Copy button in the rightmost column. This lets our team quickly identify the export and diagnose what went wrong.
