Export Items One at a Time
You can export a single company or contact directly from the results view without selecting multiple items.
Quick Actions (Table View):
Click the Download icon next to a company/contact → choose export type.
Once the export completes:
If it’s a CSV export, the download link will be in the Activities tab on the left-hand menu.
If it’s any other type of export (CRM, webhook, etc), you’ll see a link to the exported items instead of a direct download.
Quickview Panel:
Open a company/contact → click the Download icon→ select export type.
Same as above: CSV → download link in Activities; other export types → link to items.
Note: When downloading a contact, the export file will automatically include their associated company information.
Export Multiple Items at Once
Step 1: Access Your Search Results
Click the Search icon in the top navigation bar.
Navigate to the results you want to export.
Step 2: Select Items to Export
You can choose exactly which items you’d like to export.
Select Individually
In the Results tab, locate the Score column on the left side next to the listed results.
Hover your cursor over the number displayed in the Score column.
The number will change into a checkbox.
Click the checkbox to select that specific item for export.
Select in bulk:
To select all items currently visible on the page, click the checkbox at the top of the list, next to the Score column header in the results tab.
This will select all items currently visible on the page. You can also choose to select a specific number of items at once.
Use the bulk selection options to:
Select all items in your search result
Select a specific number of items (e.g., “Select first 500 results”)
Clear all selections
This gives you full control over the size of your export.
Note: You can export a maximum of 10,000 results per search. Exports beyond 10,000 are not possible in a single run. We recommend narrowing your target using filters to create smaller, more focused batches, this is also the most effective way to get higher-quality results and get the most value out of Ocean.io.
Step 3: Open the Action Bar
After selecting at least one item, the Action Bar appears at the top of the results page. Click Export to view all available export options.
Step 4: Choose Your Export Type
Depending on your account configuration, you may see one or more of the following export destinations:
Export Options (Direct File Downloads)
Export to CSV – Download a spreadsheet containing your selected companies or contacts.
When exporting contacts, their company data is always included.
CRM Integrations: Depending on your connected systems, you may see one of the following options when exporting an item:
Export to HubSpot
Export to Salesforce
Export to Pipedrive
Webhook Integrations: Any connected webhooks will appear by name inside the export options menu. Clay is an example webhook destination you can send your data to.
LinkedIn Exports: Only available for company exports (not contacts):
LinkedIn Audiences
LinkedIn Sales Navigator
Note: When exporting to CSV, you can choose between “All columns” and “Customized” in the export popup.
By default, “All columns” is selected, meaning your CSV export includes the full available dataset with no need to manually select fields.
If you switch to “Customized”, you can hand-pick exactly which columns to include or exclude, giving you a more focused and lightweight export tailored to your needs.
When exporting contacts, company-related data is always included by default.
Step 5: Confirm and Complete the Export
After choosing your export destination, you’ll see a confirmation screen showing:
The number of selected items
The estimated credit usage (Only if you've selected items that you have not yet loaded otherwise the credit cost will be 0)
Note:
The confirmation screen may look different depending on the type of export you select (e.g., CSV download, CRM export, webhook export, LinkedIn Audiences, etc.). Some export types provide fields, summary information, or settings specific to that destination.
Once the export is underway:
File downloads (Companies & Contacts) can be found in the Activities tab.
Navigate to the Activities tab on the left-hand side of the interface to locate your recent exports.
Look for the Download CSV option next to your recent export and click it to download the file.
You can re-download the export file at any time.
Additional Tips
Export History for Comprehensive Management
Go to the Settings menu in Ocean.io.
Select Export History from the available options.
In the Export History section, you can:
View all past exports, including the export date and the user who performed the export.
Check the number of entries that were successfully exported.
Re-download CSV files for any past export.
Re-export the same datasets to other destinations.
Make sure your CRM or webhook integrations are set up correctly before attempting a CRM or webhook export.
For very large exports, splitting them into smaller batches can reduce the risk of timeouts.
Use the Net New filter to exclude any items that were previously exported, ensuring you only see fresh results.
Exporting a contact always includes its company data.
Use the Export History feature to maintain a centralized record of all exports, ensuring easy access and traceability.
Leverage the re-export functionality in the Export History to save time when working with recurring datasets.
💡 Note:
When selecting any type of exporting option, it can be easier to export contacts first:
When in the Contacts tab, the Net New and Custom filters work just like in Companies search.
Exporting a contact automatically includes its associated company, so you don’t need to export companies separately.
Using the filters helps avoid duplicates in both contacts and companies.
This approach gives you contact data + company data in one export, without using extra credits for exporting companies first.
